ERP (Enterprise Resource Planning)

Software system that integrates and automates the core processes of a company — sales, service, inventory, collections and accounting — in a single platform. A specialized ERP for heavy equipment, like SITIC, is built for the specific workflows of dealerships and distributors in the sector, unlike a generic ERP that requires costly customization.

Heavy Equipment Dealership

Company authorized by a manufacturer (e.g., Kenworth) to sell, distribute and provide after-sales service for its equipment in a defined territory. It may operate one or several locations and manages sales, service workshop, parts warehouse and collections departments.

Equipment Distributor

Company that purchases machinery or equipment from the manufacturer or importer to resell, rent or service it in a specific market. In the heavy equipment sector this includes distributors of agricultural, construction and industrial machinery.

Work Order

Digital document that records all service or maintenance work to be performed on a unit or piece of equipment. Includes initial diagnosis, parts used, technician time per activity, total cost and automatic CFDI invoice closing. In SITIC, an open work order links automatically to inventory, the assigned technician and billing — no additional manual steps required.

Floor Plan

Line of credit that a bank or SOFOM grants to a dealership to finance new-unit inventory on the sales floor. The dealership pays interest while the equipment remains unsold. SITIC tracks the floor plan with payment monitoring, maturity dates and automatic alerts.

CFDI (Electronic Invoice — Mexico)

Official electronic invoice required by Mexico's tax authority (SAT) for all commercial transactions in Mexico. In SITIC, the CFDI is generated automatically when a Work Order, sale or rental is closed, with no additional manual steps.

Carta Porte (Bill of Lading Supplement)

Mandatory fiscal complement of the CFDI for the transport of goods by land within Mexico. Required when moving machinery, parts or equipment between locations or to the customer. SITIC generates the Carta Porte integrated into the invoicing process.

Preventive Maintenance

Scheduled service performed on a unit or piece of equipment before a failure occurs, based on time intervals, kilometers or operating hours. SITIC schedules automatic preventive maintenance alerts per unit, preventing unexpected downtime in active fleets.

Manufacturer Warranty Claims

Process by which a dealership submits a claim to the manufacturer for reimbursement of repairs performed on equipment within the warranty period. Requires brand-specific documentation. SITIC generates the complete claim file with all required fields to minimize rejected submissions.

SOFOM (Non-Bank Financial Entity — Mexico)

Non-banking financial entity in Mexico authorized to provide credit, leasing and factoring. Many heavy equipment dealerships operate their own SOFOM to finance sales to their customers. SITIC includes control modules for SOFOM operations integrated into the ERP.

Parts Department

Company or department specialized in the sale of parts, spare parts and consumables for heavy equipment. It can operate independently or be linked to a dealership or workshop. SITIC unifies the parts inventory with the service workshop so technicians see real-time availability.

Business Intelligence (BI)

Set of technologies and processes for analyzing business data and generating reports and key indicators (KPIs) that support decision-making. SITIC offers integrated BI with Power BI for dealership executives: sales, workshop productivity, collections and inventory in a single dashboard.

Multi-location

Operation of a company with two or more points of sale, service or distribution. In a multi-location dealership, SITIC consolidates sales, service and inventory from all locations in real time, allowing the director to view the entire operation from a single screen.

DMS (Dealer Management System)

Management system designed specifically for authorized distributors and dealerships. A DMS integrates the areas of unit sales, service workshop, parts warehouse, collections and administration into a single platform. Unlike a generic ERP, a DMS includes sector-specific features such as manufacturer warranty claims, floor plan, preventive maintenance and work order control. SITIC is the most specialized DMS for heavy equipment distributors in Mexico and Latin America.

Service Workshop

Area or company dedicated to the diagnosis, repair and maintenance of heavy equipment. Manages unit intake, technician assignment, parts consumption and invoice generation. An efficient workshop depends on a system that controls time per technician, real costs of each repair and customer communication throughout the process.

Hour Meter

Instrument that records the cumulative operating hours of a machine or piece of equipment. In distributors of agricultural, construction and industrial machinery, the hour meter is the primary parameter for scheduling preventive maintenance. SITIC uses the hour meter reading to generate automatic alerts when a unit approaches its established service interval.

Maintenance Contract

Agreement between a distributor or workshop and a customer that establishes the schedule, scope and price of preventive and corrective maintenance services to be performed on one or more units. SITIC manages the full contract lifecycle: scheduled dates, visit execution, cost control and automatic renewal with expiry alerts.

Equipment Rental

Business model in which a distributor leases machinery or heavy equipment to a customer for a defined period. Requires availability tracking, incoming and outgoing equipment condition, billing by usage time and maintenance during the rental. SITIC manages the full rental cycle with automatic invoicing and equipment traceability.

SKU (Stock Keeping Unit)

Unique code that identifies each item or part in an inventory. Allows products to be differentiated by part number, brand, application or condition (new, remanufactured). In a heavy equipment parts department, proper SKU management is essential to avoid surplus slow-moving parts and shortages of high-demand items.

Inventory

Record and control of all physical goods owned by a company: units on the sales floor, parts in the warehouse, machinery on rent and available used equipment. Well-managed inventory prevents discrepancies between system and physical stock, reduces tied-up capital and improves customer service by ensuring real-time availability.

KPI (Key Performance Indicator)

Key performance indicator that measures the performance of a process or business area against a defined objective. In a heavy equipment dealership, the most relevant KPIs include: average repair time, technician efficiency, workshop absorption rate, parts turnover, days sales outstanding and margin by service type. SITIC generates these indicators automatically from daily operations.

Absorption Rate

Financial indicator that measures what percentage of a dealership's fixed costs are covered by service workshop and parts revenue, without relying on unit sales. An absorption rate above 100% means the workshop and warehouse are self-sufficient. It is one of the most closely tracked KPIs by directors of distributors and dealerships.

Gate Pass

Formal authorization that validates a repaired unit can be delivered to the customer after the work has been verified, the work order is closed and the invoice generated. Without a controlled gate pass, it is common for units to leave the workshop without the service being billed. SITIC integrates the gate pass into the work order flow to prevent unbilled revenue.

ERP Module

Functional component of an ERP system that covers a specific area of the business: sales, workshop, inventory, collections, accounting, etc. A modular ERP allows activating only the areas each company needs and scaling as operations grow. After-Sales

Set of services that a dealership or distributor offers after the sale of a unit or piece of equipment: preventive maintenance, warranty repairs, parts sales and technical support. Collections (Accounts Receivable)

Process of managing and recovering accounts receivable from customers. In a dealership, collections spans from service invoicing to tracking overdue credit balances and managing customers with active credit lines. CFDI Invoice with Carta Porte

Fiscal document that combines the electronic invoice (CFDI) with the Carta Porte complement to certify the legal transport of goods by road in Mexico. Mandatory since 2022 for moving machinery, parts and equipment between locations or to customers. SITIC automatically generates both complements when the movement is recorded in the system.

SAT (Mexican Tax Authority)

Mexico's tax authority responsible for tax collection and compliance regulation. For heavy equipment dealerships and distributors, the SAT requires the use of CFDI for all transactions, including complements such as Carta Porte and anti-money laundering reporting. SITIC is integrated with the SAT for real-time invoice issuance and stamping.
